7 Systems, 15 Subscription Tiers, and No Single Customer View

Gravity Golf had grown organically over years, and the tech stack reflected it. Customer data lived across WordPress, MemberPress, WooCommerce, LearnDash, Constant Contact, Gmail, WhatsApp, and a handful of Trello boards. Daniel was paying for 15-20 different premium subscriptions — and still triaging every enquiry manually.

There was no single view of a customer. Membership status lived in MemberPress. Purchase history in WooCommerce. Enquiries arrived via email, web forms, and WhatsApp with no consistent follow-up. Leads sat in Trello columns that grew messier by the week. The existing HubSpot account was little more than a contact list with inconsistent properties and zero automation.

Daniel needed a system simple enough to hand to a customer service hire — with a playbook they could follow without understanding the technical complexity underneath.

One CRM, One Customer Pipeline, One Unified System

We designed a unified pipeline architecture in HubSpot that replaced the scattered tooling with a single operational system. Rather than building separate pipelines for each product line (schools, coaching, certification, products), we created one sales pipeline and one delivery pipeline that handle every customer journey through shared stages and product-line filtering.

The architecture was built to work within HubSpot Starter plan constraints — no expensive upgrades required. Where HubSpot Starter lacks native workflow automation, we bridged the gap with n8n running externally:

  • WP Fusion syncs membership data, subscription status, and lifetime value from WordPress to HubSpot in real time
  • n8n workflows handle inbound enquiry capture, classification, routing, and follow-up task creation automatically
  • Deal-to-ticket automation creates delivery records when sales close, with product-specific stage progression
  • Custom board views give Daniel a Trello-like experience inside HubSpot — familiar interface, vastly more powerful

We imported and deduplicated 20,000+ contacts, mapped membership tiers from MemberPress to HubSpot properties, and built custom views for each product line so Daniel can see exactly where every customer sits in their journey.
